One must know financial management and reporting, human resources, facilities management, technology, marketing, legal industry trends, Rules of Professional Conduct, practice management procedures, and much more.

With all of this going on in the background, Kerry LeStrange, Practice Manager at Gold Coast Practice, Attwood Marshall Lawyers still finds time to manage a household, two teenage children and has recently commenced her Masters of Business Administration (MBA). I asked, Kerry, how she juggles it all?

Her answer is simple; she enjoys the versatility and responsibility of what she does. With over 15 years managerial experience, Kerry still prefers to be hands on, juggling many specialities and responsibilities, there is never a dull moment ‘it really is an enjoyment’.

One of Kerry’s passions is technology. ‘I am always pursuing new and innovative ways as technology evolves and love to implement anything into the practice that will improve the efficiency of the business.’

Luckily her passion for IT and skill for multi-tasking, aided her when it came to implementing a new system – LawMaster – into the company back in 2008 whilst also opening two new offices. With the inevitable adversity to change from some staff, it took Kerry’s passion and hard-work to help them embrace the changes and see that it would ultimately help their workloads.

It is this vision that Kerry is taking into the future. She sees the company being completely paperless and on the forefront of leading Legal Resource Management technology. ‘We are two thirds of the way there.’ Technology is taking the firm to the next level of communication, over the past 12 months Kerry has also embraced online marketing strategies as one of the firm’s primary communication tools, something that she has seen successfully increase the interest in their website. Google is now one of their top five referral sources. ‘In five years’ time I envisage it being our top referral source!’ A professional aim driven by her passion to succeed.

One thing Kerry does find challenging is juggling her spare time between her family and her drive to complete her MBA, but she knows how to relax (in her garden sculpting Bonsai trees) and doesn’t like to take her work home with her. It is her family that motivates her ambition to succeed along with her passion for her work.

Described by her colleagues as understanding and very helpful, makes me wonder when does Kerry find time for herself? When she’s not working, this busy working and studying mother, loves to spend time with her family and friends. Having had her children at a young age, Kerry has learnt her multi-tasking skills by juggling many of life’s challenges from an early age. ‘My husband of 21 years and I have always worked full time so it has been tough but very rewarding to this point.’ ‘It is so lovely to see all the hard work of the early parenting years has paid off, looking at my two grown up children aged 19 and 16, my husband and I are now able to enjoy some of the finer things in life, like holidays!’

When I met Kerry, I found her drive and passion inspiring, an ambitious and hardworking woman, enjoying every minute; there is one other thing that makes life that little bit easier for Kerry, her office overlooks the beautiful beachfront of Coolangatta in the Gold Coast. ‘I live and work in a beautiful place, what more can I ask for?’

Your office needs to have a safe computing environment so you can focus on your business. There are a host of nasty intruders on the Internet including viruses, trojans, worms and spyware. The best approach to ensure the safety of your information is to look at IT Security.

While the process of evaluating, purchasing and administering IT Security software may seem daunting, particularly to a small business, the effort of implementing such a system will save a lot of problems in the future should you be unfortunate enough to encounter such an intruder.

For those companies using Windows 7, you already have the Microsoft Security Essentials package ready to be switched on free of charge. Designed to be simple to install and easy to use, it runs quietly and efficiently in the background so you don’t have to worry about interruptions or making updates, it gives you a computing environment that is safe and highly functional, providing real-time protection for your business PCs. Don’t worry if you have not yet moved to Windows 7, there are many other suitable IT Security packages.

Once your new anti-virus software is up and running, it is still necessary to keep your software up to date, to assist you in keeping your computer system free from these malicious intruders, these bugs are changing and improving their tactics all of the time. It is important to realise that the more you practice safe computing, the more effective you will become in providing a clean environment for your computer system to operate in. Your data and operating system will be kept out of reach from any unauthorised access.

Do yourself a favour and beat the bug before it beats you.

On top of launching the new Sydney training sessions, our trainers have recently been busy working with hundreds of users all over the country. We’ve received some great feedback, which is a welcome compliment for our trainers who work hard to make your LawMaster experience as positive and enjoyable as possible.

Nicholas Hockey, Project Officer, Business Services Section from The South Australian Crown Solicitor’s Office commented ‘overall, the training sessions were very well presented, very successful and very well received. It is a credit to the LawMaster trainers that they were able to deliver so many sessions, 46 in total, and yet be able to maintain such a high quality of delivery throughout the entire period’.

Congratulations to Tyron, Celeste, Steve & Kristina on a job well done.

Beginning with the ALA QLD conference we were welcomed by the beautiful Queensland sunshine and a re-furbished hotel, and it just got better from there. The presentations were as thought provoking as ever, the food was exceptional and we were treated to some quite amazing Belly dancers at the Middle Eastern inspired Gala Dinner, what a spectacular end to the conference.

The weather wasn’t so kind to us in Sanctuary Cove at the 5th Annual Managing Partners Forum, but this didn’t hinder the atmosphere. We managed to speak to many interesting people and were treated to a very inspiring and humorous after-dinner speech by Mr John Muir, an adventurer, who has amongst other things, climbed Mount Everest, trekked across the arctic, Antarctic and east to west across Australia. Dressed the part in a necklace of animals’ teeth and a colourful vest, the real and genuine delivery of his travels captured the attention and imagination of the whole room.

Off next to Canberra and the 2nd Public Sector Forum, this two day event was highlighted by The Hon Michael Kirby who inspired some fantastic debate amongst the delegates about panel-sourced versus in-house Legal Counsel. We feel lucky to have experienced such passion in one room.

On that note, we hope to see you all in a city near you soon.

This month, LawMater is pleased to welcome Robert Gullotta to the team as the
newly appointed Client Services Director.

Gullotta is a seasoned legal veteran, with a proven track record of success.
He has led re-engineering projects, cultural change programs, practice
management implementations and managed client relationships. Best known for
his work at Minter Ellison where he managed the intellectual capital
resources of its finance legal division, his extensive legal experience has
provided him with a deep understanding of the issues that lawyers face in
balancing client service and running a profitable business.

As Client Services Director, Robert Gullotta joins LawMaster’s senior
management team where he will report to CEO and founder, David Toohey. He
will be a primary contact between clients and LawMaster. His appointment
coincides with LawMaster’s plans to expand its reach and take advantage of
opportunities opening up in the mobility area.

“The opportunity to join LawMaster is about being in the right place at
the right time,” said Gullotta. “Lawyers are realising the benefits
of LRM software that not only automates all repetitive legal work and
eliminates double handling, but also provides fast access to matters and
captures all your billable time. I am excited to be joining the company as continues
to innovate in the mobility sector.”

“We are delighted that Robert Gullotta is joining LawMaster,” said David
Toohey. The expanding LawMaster client community will genuinely benefit from
Robert’s firsthand experience in changeover, deploying, and managing
groundbreaking LawMaster technology. As a working lawyer, his experience and
insider’s knowhow will be welcomed by law firms and legal departments
alike.”

Robert Gullotta holds a B.EC/LLB from Macquarie University, a Bachelor of
Civil Law from the University of Queensland and an MBA from Monash
University.

protection

Queensland was recently struck by devastating floods that affected hundreds
of thousands of people and incurred losses in the many billions.

Malpractice compensation law firm Campbell + White, now Given Law, was left
under the threat of a complete disaster when the power in Brisbane was
suddenly cut off ahead of rising floodwaters, and hours later found its
premises underwater.

With the floods came the fear of files being lost or misplaced. However,
being an electronic office where all documents are scanned as they enter the
firm, principal Amanda Given knew that the physical destruction of hard copy
materials would not impact on the firm’s activities or responsibilities.

Given Law uses LawMaster’s integrated Legal Resource Management (LRM)
solution. One of the benefits of LRM is that it includes inbuilt resources
that provide law firms with seamless failover in the event of an outage or
network failure: a feature that protected Given Law when it was really
needed.

According to Amanda Given, “The potential destruction of evidence,
documents and data has enormous consequences for a legal firm. However,
scanning and storing matters and documents electronically and using LawMaster
provides a variety of benefits including business continuity. Using high levels
of automation and matter management, it greatly improves performance as well
as saving lawyers thousands of dollars in annual printing, mailing, paper and
storage costs.”

In spite of the loss of her premises, using LawMaster enabled Amanda Given to
establish a virtual office for herself and her support staff at various
locations of choice. As a result, the systems were able to continue
seamlessly with no disruption to the firm’s operations. Telephone system
availability and premises were another issue of course.

Amanda Given summarises the LRM solution as accurate, efficient, integrated
and reliable. “It is a must for law firms that require critical levels
of reliability.”

Creating a paperless office

For Gold Coast legal practice Attwood Marshall, the goal of achieving a
paperless law firm is close to completion.

Since moving from an outmoded Open Practice system to a LawMaster Legal
Resource Management (LRM) solution, Attwood Marshall has lifted its billings
by solicitor by 23 per cent across three offices and reduced a nine person
admin team to three.

According to practice manager Kerry LeStrange, achieving the paperless office
status was made possible by taking full advantage of the automation available
from LRM and digitizing all incoming files and matters. “By automating
as many processes as possible and creating digital versions of case matters
and files so they could be shared and worked on concurrently, we were able to
create an incredible lift in performance throughout the firm.”

LeStrange and her colleagues have made full use of LawMaster’s integrated and
flexible features that enables Attwood Marshall lawyers to maximise their
billable time and as well as identify, access and deal with matters.

An additional attraction of the LRM solution is its pricing model. Using
LawMaster, Attwood Marshall is able to pay for its LawMaster solution based
on a percentage of results. This way the good times and the not so good are
shared by all parties.

LawMaster has announced its successful tender for the provision of a Legal Resource Management LRM System for the Crown Solicitor’s Office of South Australia (CSO).

The CSO is a division of the South Australian Attorney-General’s Department, responsible for the provision of legal services to the Attorney-General, to Cabinet and to all government agencies in South Australia.

The CSO has used LawMaster Version 9 as its legal resource management software system since April 2000. In 2010, as part of an upgrade of its systems and infrastructure, the CSO conducted an open tender to identify the best product for its business needs. An important criteria was value for money. LawMaster Version 10 (LMV10) won the tender.

The CSO evaluation process was very rigorous and included representatives from all sections of its business to assess the products on offer.

Gabi Jaksa, Deputy Crown Solicitor, said: “The CSO is very excited about the implementation of LMV10. Initial demonstration of the product to our staff has generated very positive feedback. The addition of new features in Version 10 and the more contemporary look and feel of its user interface, while maintaining our familiarity with the existing LawMaster functionality, provides the optimal outcome for CSO staff.”

Lawyers can gain 30 per cent better results by integrating people, processes, and performance using effective practice management software. It’s proven. However, and surprisingly, the benefits can be more critical for the smaller firm than they are for the larger practice. Legal Resource Management (LRM) software enables lawyers to earn more from their day. They achieve this through efficiencies created from more resourceful management of documents, automating as many processes as possible, integrating case and matter management and document assembly leaving more non-billable work to para legal and less senior staff. Numerous testimonials are available from law firms that have created more distributable profits per partner due to the introduction of innovative LRM systems like LawMaster, which is easy to use, intuitive and very effective. In spite of the measurable benefits however, smaller firms will often take the view that practice management software is a cost they can do without and too complex for those who just want to practice law. They rely on time recording software or related billing methodologies for accounting and maintain largely outdated processes. Their focus is on the costs of the technology rather than its business case.

Buying Law Practice Management Software

10 Things to Consider

by *David Toohey, Founder and CEO, LawMaster

Increasing the profitability of a law firm has never been more challenging. So it makes sense to introduce systems that create efficiencies and drive returns. One of the most effective initiatives is the adoption of software that enables lawyers to focus more on legal matters, leaving day-to-day operations to lower billed staff.

There is much to choose from. Numerous software providers have a product to assist lawyers capture and track documents. Some record client instructions, others generate reports, and capture time. Most offer some level of management recording that supposedly reduces non-billable time. These solutions work on single PCs, on practice servers, or operate in the ‘cloud’ – serviceable on different devices and multiple sites.

Given the choices, it is not surprising to learn that law firms often get it wrong.

Implementing practice software is a major step for firms of all sizes. Whether you are upgrading from a basic business system or accounting software, it is critical for law practice managers to first do their homework.

Typically, lawyers want a solution that “does it all at once”. They want the capture all work undertaken on behalf of clients so that more can be billed, particularly higher billed partner time and also to spend less on non productive activities. The software investment also needs to provide long term dividends without the firm having to pay for expense software upgrades and new hardware to keep it operational.

The starting point is having a hard look at the law firm and its longer term needs. In a dynamic legal environment, a legal business needs a highly flexible and integrated Legal Resource Management (LRM) system, a solution that provides a central data house of all of the firm’s information rather than separate components. To gain maximum returns from the solution, all operations areas including case & matter management, document management, document assembly and workflow automation need to be linked to billing, accounting, marketing, analysis and reporting.

By integrating people, processes, and performance in an all-in-one LRM system like LawMaster, which is purpose-built for lawyers and law firms, auditable profitability gains of 30 percent are achievable, and should be expected. LawMaster also provides options for fees to be based on performance results.

So what should be included in your purchase criteria?

1. Ability to meet change

Move to LRM. Your choice of law firm solution should be based on longer term as well as shorter term needs. It has to be able to accommodate change whether it is people, procedures, documentation or billing methodologies. It has to integrate all aspects of the business of a law firm. Staff come and go. So do partners. Having flexible, easy to learn production and management systems that meet the changing needs of a successful law firm will generate more billings and higher profits. The reverse is also true. So look at your broader practice needs.

2. Developed for local use

Software purpose-built for the Australian legal community should be critical in purchase decision-making. Australian law and legal business practice are continually changing. Being able to talk directly with the people who developed the software solution also means issues and fixes can be quickly addressed. Using Australian developed software also means your practice system can be regularly updated irrespective of changes in state and federal law, policy guidelines, HR matters, tax or compliance. And with local support, updates are very cost-effective.

3. Reliable support

Being able to contact someone locally during normal business hours who understands the needs of an Australian law firm as well as the technical and practical side of the application is critically important. Does the cost of the software include support? Is that support available around the clock and based locally? Working with people who are intimately involved with the development of the software provides you with surety, particularly when something needs immediate attention.

4. Remaining relevant

Is the software easy to use and personally relevant to all practitioners? Does it help keep non-practitioner staff motivated, and capture all work done on a client’s behalf? Does it help you retain and share practice IP? Is it regularly updated using the inputs of lawyers and practice management professionals? What about regularly updates: do they include the inputs of local lawyers and specialists? If the answer is not an emphatic, “yes” it is likely you are not optimising your billing and your overheads are higher than they need be.

5. Tailored solutions

Two different types of law practice management software solutions are often made available: packaged products for the law professional, and software that can be tailored to fit law firm demands. Which one should you choose? The most effective application is a solution that provides an integrated approach to meeting all needs of the firm: legal production and practice management. Being able to work with local developers instead of third party consultants means you will be able to tailor the solution to the exacting needs of your firm, which almost always creates more billings and at higher rates.

6. Seamless changeover

If you are changing from law firm management software, it makes sense to ensure your firm is comfortable with the changeover. Usually, effective planning and the right software means your people can iron out any difficulties before changeover. The goal is to minimise disruption to billable work. Using a local developer experienced in law firm operations will not only save you installation costs, but also provide you with handy tips to make the most from your software investment.

7. Beyond time billing

Some law practice management offerings provide little more than time capture and recording or document management. However, effective practice management software should also include integrated and effective procedures and processes that optimize productivity and lower costs across the firm i.e. LRM. These processes should touch all key elements of a law firm including data capture, document management and sharing, workflow management, library and work recording, marketing all of which should be integrated into the total solution. They should include all repetitive legal tasks as well as administration that can be undertaken by non-legal personnel. The solution should be easy-to-use, secure, scalable from 1 to 1,000 users, and identify areas for cost savings.

8. Supporting hardware

Adopting new LRM software should include a complete review of the computing needs of the firm and advice on how to make the best use of your current resources. Loading new software on effective hardware will complement the effectiveness of the solution. more importantly and often overlooked is ensuring disaster management capability and in the worst case include disaster recovery and business continuity back up.

9. Buying your software

Today there are numerous options available to acquire software: outright purchase, licence fees per user, and software-as-a-service arrangement where you can pay monthly subscription fees. There are also service and update cost-agreements. Leading LRM software provider, LawMaster, features an option where the law firm pays a percentage of measurable cost savings. This feature includes the costs of regular updates and a personalised help service. Law firm management software is also available as an in ‘the cloud’ service, where it is accessed over an internal or external network. Cloud services enable users to access their desktop resources from an iPhone, generic mobile devices or laptop whenever they are needed. And these services can be made available on a ‘pay as you use’ basis.

10. Proven track record

A good starting point in your selection process is a chat with other lawyers about their experience with a particular software application. The discussion should cover critical issues such as ease-of-use, training, and cost benefits as well as the availability of regular updates, service back-up and local knowledge of the needs of Australian legal practice. It should also include information about any hidden extras involved particularly after installation. After-sales costs such as changes, adds, maintenance, additional modules, service and training not covered under the purchase agreement changes the entire cost equation. Ask for references.
Making the best decision on your law firm management software will largely depend on your legal business needs and those of your partners. The solution is going to promote higher profitability per partner billings, or add to your costs. The choice is yours.

- Ends -
